Position Descriptions

Committee Chair

The Director of Outreach acts as the Chair of the committee.  The chairperson's responsibility is to work with the Cooridinator in running and organizing the program and selection process while upholding UPA policy.  The Chair helps to coordinate and deal with issues and is a resource for the committee and Coordinator regarding UPA policy and program procedures.

The Chair is responsible recruiting and filling the Coordinator positions and for maintaining the web pages (although it is possible for the Coordinator to do this as well).  The Chair is not involved with the selection process and does not vote for potential projects.

Program Coordinator

This person should be a responsible and motivated leader who is excited to support Ultimate outreach and the UPA.  The Coordinator will be a facilitator and manager to a group of volunteers and must be willing to lead the group through the selection process in a consistent and timely manner.  This person organizes the handful of volunteers that serve on the selection committee and recruits and chooses among replacements when necessary.

The Coordinator is responsible for the following:
  • Determining the status of existing committee members and whether or not we need to fill positions for the upcoming year;
  • Selecting new committee members;
  • Creating and posting the RFP;
  • Soliciting, collecting and organizing grant proposals and distributing/posting these to the group;
  • Facilitating the grant proposal review and discussion process, collecting responses from the selection committee and presenting results;
  • Maintaining schedules and deadlines;
  • Notifing the Chair and then applicants of final decisions; and
  • Writing a follow-up for the magazine one-two times a year.
Selection Committee

The selection committee is made up of 4-6 volunteers.  Committee members are recruited and led by the Coordinator.  This committee should be a diverse group of volunteers both geographically, in terms of Ultimate involvement and in their potential contributions to the committee.  The contributions and involvement of this committee are vital to the existence of this program.

The committee is responsible for:

  • Following and supporting the goals of the committee and program;
  • Reading all grant applications and completing the rating spreadsheet for each proposal in a timely manner;
  • Being involved and contributing to the discussions and process for selecting the most qualified proposals;
  • Being accessible and responsive to email on a regular basis during the selection period (generally 2 months a year).
