Rostering Guide

Rostering Guide

Once you have registered your team directly with the event director you can  register your team's roster.  There are two ways to register your team for a UPA sanctioned event, through the online rostering system or manually.

Separate rosters must be submitted for each event.  If you would like to use the same roster for multiple events you should make copies, complete the correct event information at the top of the roster and submit them to the UPA.

Online Rostering

The online rostering system will allow you to create your team’s roster online by selecting players from the UPA database (using name and UPA ID) and submit it electronically to the UPA.  The system will allow you to immediately see which team members are current UPA members and which have waivers on file, and will alert you of potential conflicts, like players on multiple rosters.  UPA staff will be able to easily access rosters for administrative purposes prior to and during the event.

Player names and UPA ID#'s are required to use the online rostering system.  If players do not know their UPA ID# they can find it on their membership card or look it up online by logging in to their account.  Members who have trouble logging in should contact the UPA at 303-447-3472 x112.  Team captains should not contact the UPA for players' ID#'s.

To use the online rostering system, login and follow the link at the bottom of the member status page.  Detailed “how to” instructions are included in the system.

Review the details on team registration for information on roster deadlines.

Manual Rostering
  1. Use a computer that is connected to a printer and has Adobe Acrobat.  If you don’t have Adobe Acrobat, you can download it here.
  2. Download and print out the necessary forms.  Make as many copies as needed.  Each member of your team must sign a waiver if they have not already done so this year.
  3. Complete the roster fully including team and player information.  You can use the Excel version to type the information onto the form.  Just save the Excel version of the Sanctioning Roster from the website to your computer.  Then fill it out and either e-mail it to melanie@hq.upa.org or print it out and mail to the UPA.  Or you can print out the PDF version and fill it in by hand.
  4. Check with each player regarding their membership status for the current calendar year or have them check it online at https://www.upa.org/members.  Indicate the status of each player on the roster and how much they owe if any.  Current members are eligible to participate in any UPA event.  Non-current members must update their membership dues or pay a one time event fee.  You can also get this information by emailing info@upa.org.
  5. Collect all of the money necessary for everyone to be eligible to play.  One check can be submitted for the entire team or team members can submit individual checks made out to the UPA.  Notes regarding who the check is for should be made in the memo section of the check.  Individuals can also pay online with a credit card at https://www.upa.org/members
  6. Collect signed waivers from all team members.  Anyone who does not submit a waiver for the year will not be allowed to participate.
